Receptionist position available ~ boutique real estate company in Piedmont & Montclair

Highland Partners has openings for receptionists to work Wednesday - Sunday in our boutique real estate offices located in Piedmont and Montclair. Position Summary

The Receptionist is often times the first point of contact for clients and is responsible for representing the company in a professional and courteous manner whether it be via telephone, face-to-face or electronically.

Primary Accountabilities
§ First point of contact for callers and in-person visitors.
§ Quality administrative and clerical support.
§ Duties as needed according to skill and experience.

Specific Responsibilities
§ Transfer caller to appropriate Better Homes and Gardens (BHG) member.
§ Welcome incoming visitors and directing them to the appropriate BHG member while making them feel welcome and well cared for by providing beverages and hospitality.
§ Keeping the office tidy and presentable between janitorial visits, including but not limited to:
o Watering plants & filling the fountain
o Dusting & wiping down surfaces
o General straightening up and putting items away
o Vacuuming or Sweeping as needed
§ Assisting in keeping Highland Partner's website and online profile pages current.
§ Assisting in open house print advertising and entering open house information into the website, MLS, WebTop, Postlets, Craigslist, etc.
§ Making sure agents have all of the address strips & MLS printouts that they need for open houses and broker's tours.
§ Filling copiers and fax machines with paper daily.
§ Receive incoming faxes and delivering them personally or electronically to the recipient.
§ Sorting incoming mail and making sure outgoing mail gets sent.
§ Assist staff and transaction coordinators with needed scanning.
§ Data entry and various administrative tasks and support to be determined by the Partners and Office Administrator. 
§ Helping Agents, The Partners, and Staff with a variety of projects, including marketing.

Skill and Experience Requirements
§ Minimum 1 year relevant work experience.
§ Proficient with MS Excel, MS Word, Google Docs and a high aptitude for learning computer and communications software.
§ Must have a professional demeanor and appearance.
§ Must be team and customer service oriented with a cheerful attitude. Must also be self motivated and able to work independently without close supervision.

Essential Job Functions
§ Primary workplace is a routine office environment. No exceptional lifting or standing requirements.
